Due to the hot weather, there are some changes to recycling and waste collections.

Electoral register and annual canvass

The electoral register (sometimes called the electoral roll) lists the names and addresses of everyone who's registered to vote. The register is updated monthly.

The full electoral register

The full electoral register has the names and addresses of everyone registered to vote. It cannot be sold to anyone. Your details would only be used for electoral purposes or given out to:

  • prevent and detect crime
  • call you for jury service
  • check applications for loans or credit

The full electoral register is not given to other departments of the council. If you have moved, you will need to contact other council departments to let them know.


Who can access the full register

By law, only certain people and organisations can have a copy of the full register, and they can only use it for specific reasons. These include:

  • Registered political parties, candidates and election agents
  • Elected Members (of Parliament, Senedd and Council) Community councils
  • Police and crime agencies
  • Credit reference agencies
  • Official bodies, like the Electoral Commission, Boundary Commission, and jury service.

Anyone is allowed to look at the full register under supervision, but they are not allowed to make a copy of it.

The electoral register is published once a year. When this is published, the previous register is frozen and a bound copy is sent into archive. These are stored on our behalf by Glamorgan Archives.

The open register

The open register is a version of the electoral register that can be bought by any person, company or organisation.

You can opt-out of the open register when you register to vote.

If you have already registered and wish to remove your details from the open register, please contact us.

The annual canvass

We are currently contacting all households to check if the details on the electoral register are correct. This is called the annual canvass.

We do this so that we can:

  • check who is eligible to vote, and
  • send registration forms to anyone who is eligible to vote.

We will contact you by email or post.

Under the Representation of the People Act 1983, we must keep the electoral register complete and accurate. We will publish the updated electoral register on 1 December 2026.

When you receive your letter or email, please tell us who lives at your address.

When to respond to canvass communication

Even if nothing has changed, you must respond if you receive a:

  • pink canvass communication B (CCB) form, or
  • yellow canvass form (CF). 

It is a legal requirement to respond. If you do not, you could be fined up to £1,000.

If you receive a white canvass communication A (CCA) form, you only need to respond if there are any changes to your household.

You must respond with a completed form by 19 November 2026.

 

How to respond

It is an offence to provide false information about who lives at your address. You could face a fine or prison as a result.

Providing information as a single responsible person

If residents share a property but do not form a single household, one single responsible person will need to complete the annual canvass for everyone living there. 

This can be anyone who lawfully holds or has access to information about each person living at a property. 

Properties where residents do not form a single household could be:

  • university halls,
  • residential care homes, 
  • hostels, and
  • houses in multiple occupation (HMOs).
     

If you are a single responsible person​

As the single responsible person for a property, you must give us information about the people living there. 

This is allowed under General Data Protection Regulation (GDPR). We also have a statutory right to request information from you under Regulation 23 of the Representation of the People Regulations 2001.​

It is a legal requirement to respond. If you do not, you could be fined up to £1,000.

​We will usually contact you between July and November to ask for up-to-date information on residents.

We may also contact you at other times. For example, before an election. 

After you respond to us, we can contact eligible voters at the property to make sure they know how to register to vote.

Please update us whenever people have moved into or out of the property.

 

What happens next

After you respond to our canvass communication, we will send any new or newly eligible residents in your household a voting registration form. 

To register to vote, you can:

  • complete the form and return it to us, or ​​
  • register to vote​ on the GOV.UK website.​​
