This privacy notice is intended for customers of
Cardiff Council’s Trade Waste serviceExternal link opens in a new window, which provides contractual waste collections for local businesses and residents.
The Trade Waste service is a part of Cardiff Council, who is the Data Controller for the purpose of the information collected.
The type of personal information we collect
We currently collect and process the following information:
- Name
- Address
- Contact details (phone number, email address)
How we get the personal information and why we have it
Most of the personal information we process is provided to us directly by you for one of the following reasons:
- To set up a contractual agreement to remove non-domestic waste
- To change or terminate a contractual agreement
We use the information that you have given us in order to:
- Fulfil the contractual agreement and schedule of services
- For communications in the instance of an issue fulfilling our contractual agreement
- For communications to update our customers on changes to service or terms and conditions
We may share this information with our operational software provider, Selected Interventions Ltd, in support of our operations. This provider acts as the Data Processor and only processes this data as stipulated by Cardiff Council Trade Waste Team. The data is not available to Selected Interventions Ltd, to use for any other purposes, as stipulated in a Data Processing Agreement.
Under the General Data Protection Regulation (GDPR), the lawful bases we rely on for processing this information are:
- We have a contractual obligation.
Providing we have contact details for at least one individual for each contractual agreement, you have the right to request your information is removed.
How we store your personal information
Your information is securely stored digitally on a cloud hosted system (Microsoft Azure) located either UK South or UK West.
We keep all personal information (i.e. name, email address and phone number) for the duration of any contractual agreement, and for up to 2 years after the termination of a contract. We will then dispose of your information, by deleting all digital records.
Your data protection rights
Under data protection law, you have rights including:
- Your right of access - You have the right to ask us for copies of your personal information.
- Your right to rectification - You have the right to ask us to rectify personal information you think is inaccurate.
You also have the right to ask us to complete information you think is incomplete.
- Your right to erasure - You have the right to ask us to erase your personal information in certain circumstances.
- Your right to restriction of processing - You have the right to ask us to restrict the processing of your personal information in certain circumstances.
- Your right to object to processing - You have the the right to object to the processing of your personal information in certain circumstances.
- Your right to data portability - You have the right to ask that we transfer the personal information you gave us to another organisation, or to you, in certain circumstances.
You are not required to pay any charge for exercising your rights. If you make a request, we have one month to respond to you.

You can also complain to the ICO if you are unhappy with how we have used your data.
