This notice is designed to give you information about the data we hold about you, how we use it, your rights in relation to it and the safeguards that are in place to protect it.
Why we are providing this notice to you
Under data protection law, individuals have a right to be informed about how Governor Support Services uses any personal data that we hold about them.
Governor Support Services requires your personal data:
- To perform our legal and regulatory tasks as a Local Authority and
- To perform a specific task in the public interest, that is set out by law, in order to comply with The Education Act 2002 (Part 3 S.22)
What personal data we hold and how we obtain it
The types of personal data we process can include, but is not limited to:
- Name, Address, Telephone numbers, e-mail addresses
- Race, National or Ethnic Origin
- Details of employment
- Details of referees
- Details of terms of office as a governor
- Details of training attended and feedback provided
- Previous Governorships (type of governor, any positions held on the governing body, terms of office served and reasons for resignations/suspensions)
- Other information relevant to customer surveys and/or offers such as area of work and work interests
The information we collect about governors is provided by either the school involved, the Clerk to Governors or individual governors/prospective governors.
How we will use your personal data
We will use your information to aid us in continuing to perform our legal and regulatory tasks as a Local Authority and to perform specific tasks in the public interest that is set out by law.
This can include the processing of your personal data to:
- To contact you
- For recruitment and appointment purposes
- For statistical purposes
- To comply with legal obligation in providing you with information about your school governor role including training opportunities
- For internal record keeping
- For feedback purposes and to improve our products and services
- Provide appropriate statutory advice and guidance
- For marketing purposes and to inform you of any other information we think you may find interesting
- To provide, record and monitor governor training
Your Rights
As a data subject, you have many rights regarding your personal data. This includes:
- Right of access
- Right to rectification
- Right to erasure
- Right to the withdrawal of consent where consent is relied upon
- Right to data portability
- Right to the restrict processing
- Right to object
- Rights in relation to automated decision making and profiling.
Organisations we may share your information with
We do not share information about governors with any third party without consent unless the law and other valid obligations require us to do so.
Your data will be shared with others for the following purposes:
- Recruitment and appointment purposes.
- To enable contact to be made with you and for information to be sent to you.
- It will also be shared for statistical purposes e.g. training undertaken, membership of governing bodies.
- To enable Governors to complete mandatory training
We will only share your data with:
- officers of the Council
- members of the LA Governor Panel (for LA governors)
- the Headteacher, Chair and Clerk of your preferred school(s)
- Central South Consortium
- any other parties where required to do so by law.
Your data will be processed in line with the requirements of the Data Protection Act 2018.

You have the right to withdraw your consent to the processing at any time by notifying the Data Protection Officer in writing. However, if you do not give consent, or subsequently withdraw it, Governor Support Services will not be able to provide you with information to undertake your role and may not be able to process the relevant information to make decisions based on it, including decisions regarding your appointment/re-appointment as a governor.
